Job Description:

The DOT Administrative Assistant is responsible for maintaining compliance with DOT regulations for InterCon employee and assisting with onboarding of new employees.ESSENTIAL JOB RESPONSIBILITIESAssist the DOT Administrator in the scheduling and tracking of monthly random drug screen pool.Verifying employee Commercial Drivers Licenses (CDLs).Schedule bi-annual physicals for InterCon employees who possess CDLs.Schedule road tests for employees looking to obtain a CDL.Monitor employee driving records utilizing State and Federal. Connects InterCon with medical clinics throughout the Unites States to be used for drug screening.Compile quarterly vehicle mileage reports under the International Fuel Tax Association (IFTA) guidelines.Monitor InterCon drivers to ensure compliance with IFTA guidelines.Administer yearly driving record reviews of InterCon employees operating Commercial Motor Vehicles.Track roadside inspections and report needed repair to maintenance shop. Assist in ordering and distribution of vehicle license plates and registration renewals.Review route, order and distribute over-size weight permits for over-the-road trucks.Tracking and retention of Daily Vehicle Inspection reports.Assist Human Resources with new hire paperwork when needed.Other duties as assigned. QUALIFICATIONS & REQUIRED KNOWLEDGE/SKILLSHigh school diploma required.Experience communicating clearly and in a professional manner with company employees and medical staff.Ability to manage multiple tasks.Minimum of 1 year of experience working with DOT guidelines for CDL drivers and IFTA reporting encouraged. Ability to track, maintain and communicate drug screening appointments throughout multiple states.Represent the company in a professional manner when in communication with customers, clinical staff and InterCon team members.Must portray an upbeat, pleasant attitude and demonstrate an eagerness to learn. Proficiency in Microsoft Office required. Excellent written and verbal communication skills required.Effective listening skills and the ability to document drug screen results.Ability to establish and maintain effective working relationships with co-workers and supervisors. Ability to work independently as well as in a team-oriented environment. Willingness to travel occasionally.
