Job DescriptionWestPoint Financial Group is seeking a dual-role Office Manager and New Business Coordinator to join their Madison, WI office. The ideal candidate for this position will be detail-oriented, thorough and accountable, and exhibit superior communication and prioritization skills. The successful candidate must be collaboration-minded and possess strong interpersonal skills.This position is Full-time, Monday through Friday, in the office.Responsibilities:Office Manager

  • Greet and announce firm visitors in a friendly, welcoming manner;
  • Answer incoming calls and direct to appropriate party;
  • Maintain break room and schedule conference rooms;
  • Notify building management of maintenance requests;
  • Establish building access for new advisors, sales assistants, WPFG personnel and guests;
  • Prepare Welcome packets and assigned workspace for new associates;
  • Open and Close business at stated hours;
  • Sort and Distribute incoming mail and packages (including US mail, UPS, and FedEx);
  • Maintain office machinery and supplies (including postage meter, photocopier and other office machines);
  • Ensure day to day operations are prioritized according to client and advisor needs and deadlines;
  • Participate in the operations department monthly meetings; and
  • Responsibilities added at manager's discretionNew Business Coordinator
    • Review all applications for accuracy and completeness in a timely manner;
    • Reports and requirements ordered and received in a timely manner;
    • Prompt and professional communication with associates regarding incomplete/incorrect application submission
    • Perform New Advisor training and ongoing training as needed;;
    • Utilize available technology for appropriate tracking and archiving of business submission
    • Daily monitoring of pending business;
    • Facilitate policy delivery and initial payment;
    • Monitor any outstanding delivery requirements; and
    • Additional support as requestedPosition Requirements:
      • High school diploma or equivalent;
      • Associate or Bachelor's degree preferred;
      • Proficient in MS Office;
      • Strong interpersonal communication skills;
      • Diplomacy;
      • Strong organizational and multi-tasking skills;
      • Detail oriented;
      • 1+ years administrative experience;
      • 1+ years insurance experience (preferred)Benefits:
