Job Description:

The QTI Group is partnering with Willy Street Co-op to hire their next Director of Operations. Willy Street Co-op is different than other grocery stores. A co-op, or cooperative, is a company that is owned by customers who invest in the business. We are guided by the Seven Cooperative Principles. Everyone can shop at the Co-op, but Owners receive extra benefits.
Willy Street Co-op started in 1974 when a group of people wanted to provide quality food for their families. They began the Co-op in order to find and sell fresh, local, organic, and natural foods.
Over the years, the Co-op has grown to serve many Owners from many different locations. We have expanded to offer more products, we opened a production kitchen and we have three stores. Willy East and Willy North are in Madison, and Willy West is in Middleton.
As an Owner, when you purchase food and products you invest in a business you own. You support local farmers, product suppliers, and staff who live and work in your community.

The Director of Operations provides overall strategy and leadership for operations and the purchasing function of the Willy Street Co-op according to the established Mission, Vision, and Cooperative Principles. This career professional is responsible for coordinating and standardizing practices across three retail store locations and the off-site production kitchen.
Reporting Relationships:
The Director of Operations reports to the General Manager, who provides vision, oversight, strategy, and tactical direction for all areas of the Co-op. The General Manager defines the results the Director of Operations is expected to achieve within the limits of prudence and ethics. The Director of Operations directly or indirectly supervises all employees within the three retail store locations and the off-site production kitchen. The Chief Operations Officer is an integral member of the executive leadership team and a member of the Co-op Steering Committee.
General Responsibility:
The Director of Operations is responsible for establishing the strategic direction of and implementing best practices for overall retail operations and purchasing across three store locations and the off-site production kitchen. This person will direct the development and implementation of sales and operational initiatives and processes to ensure that organizational goals are being met. They will also develop and lead a forward-thinking, strategic vision to optimize operations.
Specific Responsibilities:
Operations

  • Develop, implement, and oversee sales strategies and performance goals; maintain detailed records for analysis, and evaluate the sales performance of locations individually and collectively
  • Design and implement strategies to increase operational effectiveness and maximize long-term store performance, including strategies to increase profits
  • Plan, direct, and control all prepared food production to meet operating and financial goals and customer needs across a multi-site operation
  • Collaborate with Site Leads to develop and implement the infrastructure and workflow for product receiving and transfers, pricing accuracy, inventory, and logistics
  • Ensure compliance with company/state policies such as safety, wage and hour, sanitation, and purchasing
  • Stays current on all market conditions and industry trends to ensure that the Willy Street Co-op's operations and purchasing strategies remain competitive and relevant Diversity, Equity & Inclusion
    • Collaborates with the Director of Product on efforts to identify, expand, and accelerate the use of BIPOC-owned, women-owned, veteran-owned, LGBTQ+, and differently-abled suppliers and vendors; drive adoption of inclusive promotional practices among retail leaders across the Co-op; and conduct regular strategy analysis to ensure that diverse supplier utilization aligns with overall Co-op goals
    • Ensures all program goals are aligned with the overall Co-op DEI strategy
    • Shares wins and losses with internal and external stakeholders, while recommending gap-closing strategies Community Outreach
      • Regularly assess the Co-op's competition to inform operations and purchasing strategies
      • Engage in educational and community outreach events that support a local sustainable food system
      • Participate in other local and regional co-op activities
      • Cultivate and maintain relationships with local food organizations and partners, including local farms, natural food producers, and related community-based organizations Customer Experience & Satisfaction
        • Implement necessary employee training to ensure the Co-op provides best in class service to all internal and external customers
        • Review and respond to customer feedback related to operations and purchasing
        • Work with the Director of Finance to prepare operating, capital, and labor budgets for each retail location and the off-site production kitchen
        • Collaborates with the Director of Finance and other members of the Executive Team to set organizational margin and sales goals on an annual basis, and outline strategies to meet those goals
        • Lead the management team in each retail location and the offsite kitchen in implementing processes and initiatives to meet all financial goals for margin, sales, and labor
        • Collaborate with the Director of Finance to analyze and audit financial reports for retail and kitchen operations, creating and presenting projections based on current and anticipated customer needs Human Resources
          • Work with the Director of People & Culture to analyze labor needs and allocate labor budgets for each retail location and the off-site production kitchen
          • Hire and select department staff as needed following Equal Opportunity Employment standards throughout the hiring process
          • Supervise, develop, and evaluate department staff, including taking disciplinary action as needed
          • Ensure adequate training for all staff, including orientation, position training, and skills development training
          • Establish channels for staff input and recognition
          • Ensure effective employee relations, including cooperation, coordination, and morale; conduct staff meetings within the department regularly Marketing & Communications
            • Work in concert with the Director of Marketing & Communications to analyze marketing trends and critical measurements of productivity/customer service to implement marketing operational strategies Planning and Leadership
              • Serves as a liaison representing the interests of the Executive Team to internal and external stakeholders
              • Provide input to the General Manager regarding the Co-op's ongoing operational needs, including technology, facilities, equipment, and human resources
              • Responsible for leadership, direction, and accountability to increase Diversity, Equity & Inclusion across all functions of the organization in collaboration with the General Manager and other members of the Executive Team
              • Represent the Co-op at regional and national co-op or industry events
              • Support Co-op committees as appropriate
              • Provide strong leadership for the Co-op through successful communications, business relationships, and public relations Product Management, Data & Logistics
                • Design and implement a post/cost management strategy, providing equitable pricing, minimizing cost inflation, mitigating risk, and improving ROI
                • Lead progressive efforts to establish, manage and improve supplier relationships in concert with overall Co-op goals
                • Oversee data maintenance for point of sale and inventory systems, promotions, invoices, credit requests, and billing Other

                    Essential Qualifications
                    • Minimum of 7 years of experience and successful track record in cross-functional retail grocery business management, including (but not limited to) purchasing, direct/indirect procurement, marketing, department operations, and other related areas
                    • Minimum of 5 years of supervisory experience with a demonstrated ability to create a healthy work environment focused on customer service and excellence
                    • Proven track record in retail growth and development, particularly among a diverse customer base
                    • Demonstrated success in process improvement, with an eye for bridging coalitions among a diverse set of stakeholders with competing priorities
                    • Demonstrated ability to understand business direction, customer requirements, supply management, marketing strategy, and demand generation fulfillment strategy
                    • Excellent analytical and problem-solving skills, with the ability to present complex data sets to various audiences in an easily digestible manner
                    • Experience in budget planning and preparation, with a particular focus on operational efficiency
                    • Proven financial analysis and reporting skills, with the ability to translate complex data sets to relevant stakeholder groups
                    • Excellent written and oral communication skills; able to effectively collaborate with stakeholders with varying degrees of seniority, employee classifications, and lived experiences
                    • Ability to effectively share creative and innovative ideas to enhance the efficacy and efficiency of services to customers, employees, and external stakeholders
                    • Excellent cross-functional project management skills, with the ability to build consensus and collaboration across reporting structures
                    • Strong commitment to the vision, values, and structure of the Co-op
                    • A desire to address complex issues collaboratively with the General Manager, leaders, and staff
                    • Ability to build teams and hold others accountable in a way that builds trust and commitment
                    • Demonstrated skills in organization, management, and completion of multiple projects simultaneously

                      • Previous experience working with labor unions in a unionized environment
                      • Previous experience in a co-op grocery environment

                        The Chief Operations Officer is evaluated by the General Manager via the annual Performance Management Process. Physical Requirements:

                          Work Environment:
                          Office setting with enclosed offices, cubicles, and meeting spaces. Moderate temperatures with noise including but not limited to computers, paging, phones, human voices, file cabinets, printers, and key card beep. A fast-paced retail environment with foodservice equipment and coolers and in cold/hot working conditions (i.e. cooler or near heated surfaces).
